This notice explains how Hearthstone Financial Planning (“we”) handles personal data collected through analytixpro.digital and during advice enquiries.

Data we collect

Enquiry forms collect your name, email, preferred call window, advice area of interest, and message content. If you become a client, we additionally process identity details, financial circumstances, and documents you provide — under a separate client privacy explanation in your engagement pack.

Purposes and lawful bases

We process enquiry data to respond to your request (legitimate interests and, where applicable, steps prior to a contract). Essential cookies support site security and preference storage. Optional analytics cookies run only if you accept them on the cookie banner.

Retention

Unsuccessful enquiries are usually deleted or anonymised within twenty-four months. Client files are retained for periods required by financial services record-keeping rules, typically at least five years after the end of the relationship, and longer where complaints or regulatory obligations require it.

Your rights

Under UK GDPR you may request access, rectification, erasure, restriction, or portability of your data, and you may object to certain processing. You may complain to the Information Commissioner’s Office. Exercising rights will not always mean we can delete records we must keep for regulatory reasons.

International transfers

If a supplier stores data outside the UK, we use appropriate safeguards such as the UK International Data Transfer Agreement or adequacy regulations where available.

Sharing

We share data with product providers, solicitors, or specialists only when needed to deliver advice you have instructed, or where law requires disclosure. We do not sell personal data.
